We process personal data in accordance with applicable UAE laws, including Federal Decree-Law No. 45 of 2021 concerning the Protection of Personal Data (the “PDPL”), and we adhere to the principles of lawfulness, fairness, transparency, purpose limitation, data minimisation, accuracy, storage limitation, integrity and confidentiality.

2. What personal data we collect
Depending on how you interact with us, we may collect:
- Identification & contact data — your name, company, email address, telephone number, designation and correspondence address.
- Project & commercial data — the project details, scope, site location, timelines and any documents you share with us in a request for quote or during service delivery.
- Communication data — the content of emails, WhatsApp messages, call logs and any voice messages or notes captured by our dispatch and operations teams.
- Technical & usage data — IP address, browser type and version, device identifiers, time-zone, referring URL, pages visited and timestamps. This is collected through first-party means and through Google reCAPTCHA v3 which protects the Request-a-Quote form.
- Recruitment data — if you apply for employment, the contents of your CV, identification documents and qualification certificates required for UAE work-permit processes.
3. Why we process your data (purposes & lawful basis)
- To respond to enquiries and prepare quotations — based on your request and on our legitimate interest in conducting business.
- To deliver our services — performance of a contract between you (or the entity you represent) and Sarhadi Transport.
- To meet legal and regulatory obligations — including taxation, VAT reporting, UAE labour and immigration requirements, health-safety-environment (HSE) record-keeping and Dubai RTA permit obligations for heavy-vehicle movements.
- To protect our Site against fraud and abuse — through reCAPTCHA, server logs and standard security controls; based on our legitimate interest in keeping the Site secure.
- To improve our services and communications — analysing aggregated, de-identified patterns of use; based on our legitimate interest in improving service quality.
4. Cookies and similar technologies
The Site uses a minimal number of strictly-necessary cookies and local storage entries required for security and core functionality. We do not currently use advertising or cross-site tracking cookies. Google reCAPTCHA v3 sets cookies on Google domains for bot-detection purposes; its use is governed by Google’s Privacy Policy and Terms of Service.
5. Sharing of personal data
We do not sell personal data. We share personal data only with:
- Service providers who act on our behalf under written confidentiality terms (for example Resend for transactional email, our hosting provider, our accountants and external legal advisors).
- Authorities and regulators in the UAE where we are required to do so by law, regulation, court order or governmental request (including Dubai RTA, the Ministry of Human Resources & Emiratisation, Dubai Police and the Federal Tax Authority).
- Counterparties to a transaction where strictly necessary (e.g. subcontractors, insurers, financiers, or buyers in a corporate transaction), subject to appropriate safeguards.
6. International transfers
Some of our service providers process data outside the UAE. Where this occurs, we ensure an adequate level of protection through contractual safeguards consistent with Article 22 of the PDPL, or rely on a permitted exemption (such as the data subject’s explicit consent or performance of a contract).
7. How long we keep your data
We retain personal data only for as long as necessary for the purposes set out in this Policy, and in any event for the minimum period required by UAE law:
- Quote requests and prospect communications: up to 24 months from last contact.
- Active contract records, invoices and tax records: 5 years minimum, in line with UAE VAT and commercial-records requirements.
- HSE incident records: minimum 5 years from incident closure.
- Employment records: for the duration of employment and for the period required by UAE labour law thereafter.
8. Security
We apply technical and organisational measures appropriate to the risk, including encrypted transport (HTTPS/TLS), access controls based on the principle of least privilege, multi-factor authentication on administrative systems, secret rotation, regular backups, and staff training on data-protection responsibilities.
9. Your rights under the PDPL
Subject to the conditions of the PDPL, you have the right to:
- Request information about the personal data we hold about you and the processing performed on it;
- Request the correction of inaccurate or incomplete personal data;
- Request the erasure of personal data where the processing is no longer necessary or has no lawful basis;
- Request restriction of processing;
- Request portability of the personal data you have provided to us;
- Object to processing carried out on the basis of our legitimate interests;
- Withdraw consent at any time, where processing is based on consent (without affecting the lawfulness of prior processing);
- Lodge a complaint with the UAE Data Office.

10. Children
The Site is not directed to individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us personal data, please contact us so we can promptly delete it.
